An opportunity to use your admin and organisational skills to make a real difference for a wide cross-section of the local community. In this part-time charity role you’ll own and be able to shape certain processes, as well as working closely with our small friendly team.

About Us

Wokingham United Charities (WUC) is an amalgamation of some 21 Wokingham charities which date back to 1451, some of the oldest charities in England. WUC manages the distribution of a substantial relief in need fund, which provides essential item grants to individuals referred from the Citizens Advice Bureau who need support to purchase essential items eg white goods/furniture. WUC also provides charitable grants to local organisations providing support/services in the Borough of Wokingham and manages 27 Almshouses at Westende, London Road, Wokingham.

We have a bright office in the centre of Wokingham, with flexibility for up to 1/3 of working time to be worked remotely. We have a supportive and relaxed working environment where we all enjoy the impact of our work.

Role Responsibilities

-   Running the full process around essential items grants, including finding and implementing improvements to ensure that the process is efficient and effective, and meets its goals as determined by the grants committee.

-    Act as clerk to trustees, including preparing agendas and papers for meetings, taking minutes of board and committee meetings and managing the process of gaining agreement to these documents.

-    Overall responsibility for managing telephone systems, emails and responding to all correspondence, with the support of the Office Manager as required.

-    Handle other charities communications, including maintaining the website, creating newsletters and regular social media updates in line with the agreed communications plans.

-    Processing data in financial systems (Xero), maintaining appropriate filing systems and other administrative and records oversight.

-    Representing the Charity positively in all interactions, building and maintaining relationships with appropriate partners.

-    Providing general team support to the Westende Manager and Office Manager, including balancing workloads and holiday cover.

About You

If you are a committed, enthusiastic and confident administrator with previous administration experience, you could be our ideal candidate. We would like to work with someone who:

-    is a team player with good interpersonal skills

Requirements/Skills

-       Previous administration experience

-    Clear and confident communication skills

-    Comfortable using social media for professional purposes

-    Strong IT skills including Outlook, Word & Excel

-    Numeracy skills to accurately enter financial information into systems

-    Previous knowledge of Xero is advantageous, although not required as full training will be given.

Key Information:

-        This is a permanent part-time position, 15 hours per week. Actual days and times to be agreed with the successful candidate. Hours include a requirement to work up to 2 evenings per month to take minutes at board and committee meetings with our volunteer trustees. This is currently usually the third Tuesday of each month, with an additional evening some months.

-     Salary £27,040 pro-rata (£10,140 actual)

-     To ideally start from early September 2021.

-     Primarily office-based, with the option of remote working (up to 1/3 of working time) after the initial training phase, where this can be managed without impacting on duties or colleagues.  

-     Working with the Office Manager and Westende Manager on day-to-day basis, reporting to the Chair of Trustees.
